Google Drive: Basic Guides and Uses

Google drive is the most widely used form of cloud storage service or app where you can add any file of photos videos, documents, emails that can be shared, moved from any device or the location. Cloud storage is the online space that is not included in the internal storage of your smartphone or your computer. Google drive is a combination of cloud-based file storage and Google Documents. Hence, it is one of the important apps of G-Suite. The most interesting thing about Google Drive is that it has 15 GB of cloud storage. So if your phones are out of storage but do not want to delete your favourite photos or videos then you can move all your contents of files and folders directly to the Google Drive.

Google Drive helps you to transfer and share files and keeps the security of those file with a great amount of storage. Any files and format that is not supported by your pc and easily be opened and edited from Google Drive. If your GDrive is connected to Google account then it is important for you to know that Google Drive and its storage is actually shared or split between Gmail, Google Photos and Google Drive.

Basic Guide on How to Use Google Drive:

If you already have a google account you can directly connect to Google Drive. Go to the search box of google and type ‘www.googledrive.com’. Click to the obtained result. You can enter a current email address and password and click to next. Enter your phone number and you will receive a verification code. Then add the code number as per required. Then select agree to all the terms and conditions. Now you will see a dashboard of Google Drive. After you have signed up to Drive, you can install the app on your own devices like laptop and smartphone.

Apart from storing, editing and sharing files and documents, Google Drives can be used in different ways. Some of them are listed below:

Used to send attachments in Gmail: Google Drive can be easily used to attach the file and directly send through emails. In order to save the attachments send to Gmail, first open the email and put the cursor to the attachment. There you can see the icon of Google Drive. Click to the icon. You can choose to save the attachment in the appropriate folder in the Google Drive and in the same way, can send any documents of GDrive through emails.

Use of third-party apps: Alternative use of the MS Office is accessible through the use of third-party apps in Google Drive. The Microsoft Apps functions like Spreadsheet, Docs, Slides, Forms, Drawings, Jam board helps you create any files and save it directly to Google Drive. The documents created through these apps can be downloaded in their respective formats. Similarly, apps like Calendar, Google Keep and Tasks can easily be opened and used as the mini tab of the page of Google Drive.

Used to back up, sync files: The latest version of Google Drive offers a tool called ‘Backup and Sync’ where you can back up your files can be accessed from anywhere. You can choose to back up and sync your files or documents of your computer, phone and tablet. You just have to enable the auto-correction option then all your data can be synced to your drive.

Used to work offline: One of the best features after sharing files of Google Drive is to work offline too. Chrome must be used to work offline. If your previous contents were used in the different browser then due to the unmatched browser, there is a chance for your contents to lose. If you have installed a Google Drive app then no worries, you can enable an offline mode where you can use your documents without any problem.

Use of the Integrated apps: In Google Drive, you can use the integrated apps like Drive Notepad, Drive Tunes, Pixlr Editor. Those integrated apps can be installed through the web. You can search for Google Drive Apps and the apps that are easily available in the name of Google Drive collection either from chrome web store or Google Play.

Used to Organise Files: Google Drive can be used to store all forms of files in a single place. The best user experience of Google Drive can be noticed when the files are sorted and organized. The use of advanced search tools and the colours for folders are good features of Google Drive. So keeping the name of files and folders can help in the quick search of the items you want in no time.

Used for easy collaboration of files: While collaborating files with others at the same time the versions of files might differ with each other. So, the Google Suite files help to restore the earlier version so that both the files get the latest version. Similarly, you can use the old version when you cannot get used to with the newer ones.

Used to publish Your Documents directly to web: Google Drive can be the best platform for those who create a contents or article. It can help you to share your original documents in the form of a copy. Copy of your original document is a file which the people will be able to see through your website but cannot share it. You can set the access level to your documents on the website.

Used to scan or screen capture the web documents or contents: You just need to snap the documents like receipts, statements, letters and Google Drive will store them as PDFs. Similarly, you can save the web contents directly to the Google drive by downloading the extension named ‘Save To Google Drive’. All you have to do is right click to the videos or images or any files and select ‘Save To Google Drive’.

Used to create a business account as well: Google Drive can be used to create your own business account. It helps you to work keeping the informations safely with your business and personal acccount. Similarly, you can get the knowledge of the work done by your team members and edit the files shared by them

Google Drive can be used from any part of the world at any time and the big thing is it is free of cost. It is also safe and the best way to protect your files and information. With Google Drive and the increasing use of third-party apps, Google is taking over the Microsoft Office functions. So due to the large benefits, millions of the users are using Google Drive and the number is still increasing day by day.
